Job Description
We are seeking a dedicated and organised Administrative Assistant to provide essential state-funded support for Surf Life Saving initiatives across Western Australia. This role involves comprehensive administrative coordination, data management, and communication support to ensure the smooth operation and successful delivery of programs aimed at coastal safety and community engagement. You will be an integral part of a team committed to supporting volunteers and staff who make a vital contribution to public safety on our beaches. Key Responsibilities
- Provide administrative support for state-funded Surf Life Saving programs and projects.
- Manage and maintain program-related databases, records, and documentation.
- Coordinate meetings, prepare agendas, and distribute minutes for various committees and working groups.
- Assist with the preparation and submission of reports, grant applications, and acquittal documents.
- Process invoices, expense claims, and track budget allocations for specific projects.
- Handle general inquiries via phone and email, directing them to appropriate personnel when necessary.
- Prepare presentations, spreadsheets, and other documents using Microsoft Office Suite.
- Liaise effectively with internal departments, Surf Life Saving WA representatives, and external stakeholders.
- Support the planning and execution of events, workshops, and training sessions.
- Maintain confidentiality and handle sensitive information with discretion.
Required Skills
- Proven administrative experience, ideally within a government or non-profit setting.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
- Excellent written and verbal communication skills.
- Strong organisational and time management abilities with attention to detail.
- Ability to work both independently and as part of a team.
- Demonstrated ability to manage multiple tasks and prioritise effectively.
- Experience with database management and record-keeping.
Preferred Qualifications
- Relevant qualification in Business Administration or a related field.
- Familiarity with the operations or mission of Surf Life Saving Australia/WA.
- Experience working with state government funding guidelines and reporting.
- Knowledge of sport and recreation sector operations in Western Australia.
