Job Description

We are seeking a warm, organised, and highly empathetic Veterinary Receptionist to be the welcoming face and voice of our Bolton clinic. In this pivotal role, you will be the first point of contact for our clients, providing an essential link between pet owners and our veterinary team. You will manage a busy reception area, handle client enquiries, schedule appointments, process payments, and ensure a smooth and positive experience for everyone who walks through our doors. This role requires a genuine love for animals, excellent communication skills, and the ability to remain calm and professional in a fast-paced environment.

Key Responsibilities

  • Greet clients and their pets warmly upon arrival, ensuring a friendly and welcoming atmosphere.
  • Manage incoming calls and emails, answering enquiries, and directing them appropriately.
  • Schedule and confirm appointments efficiently using practice management software.
  • Process client payments, handle cash, and manage daily financial reconciliations.
  • Maintain accurate client and patient records with strict confidentiality.
  • Manage incoming and outgoing post and ensure the reception area is tidy and presentable.
  • Dispense flea and worming treatments under veterinary guidance.
  • Assist with stock ordering and general administrative duties as required.
  • Provide emotional support and empathy to clients, especially during difficult times.

Required Skills

  • Proven experience in a customer service or reception role.
  • Exceptional verbal and written communication skills.
  • Strong organisational abilities and attention to detail.
  • Proficiency in Microsoft Office Suite and ability to learn new software quickly.
  • A compassionate and empathetic approach to both people and animals.
  • Ability to work effectively in a fast-paced and sometimes emotional environment.
  • Reliable, punctual, and a strong team player.

Preferred Qualifications

  • Previous experience working within a veterinary clinic or animal care setting.
  • Knowledge of veterinary terminology and common pet health issues.
  • Experience with Animana or similar veterinary practice management software.
  • Relevant qualification in animal care or customer service.
