Job Description
We are seeking a highly organized and proactive Virtual Project Support professional to join our dynamic team. In this 100% remote role, you will be instrumental in supporting multiple projects simultaneously, ensuring smooth operations and timely completion of tasks. This position requires excellent multitasking abilities, strong communication skills, and a keen eye for detail. You will work closely with various project managers and teams, providing administrative, coordination, and logistical support across a diverse portfolio of initiatives. Full training on our internal systems and processes will be provided.
Key Responsibilities
- Coordinate and schedule meetings, workshops, and project-related events, including managing invitations and preparing agendas.
- Maintain project documentation, including reports, presentations, and communication logs, ensuring all information is current and accessible.
- Monitor project timelines and deliverables, proactively flagging potential delays or issues to project managers.
- Assist in the preparation of project reports, summaries, and presentations for internal and external stakeholders.
- Facilitate communication between various project teams and departments, ensuring information flows effectively.
- Manage project-related administrative tasks, such as data entry, filing, and procurement support.
- Onboard new team members to project tools and processes, providing initial guidance and support.
- Respond to project-related inquiries and provide basic support, escalating complex issues as necessary.
- Identify opportunities for process improvement within project support functions.
Required Skills
- Strong organizational and time management skills with the ability to prioritize multiple tasks.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Ability to work independently and as part of a virtual team.
- High level of attention to detail and accuracy.
- Proactive and problem-solving mindset.
Preferred Qualifications
- Previous experience in a virtual assistant, administrative, or project support role.
- Familiarity with project management software (e.g., Jira, Asana, Trello).
- Experience in a fast-paced, multi-project environment.
- A relevant certification in administration or project coordination.
