Job Description

We are seeking a highly motivated and professional individual to join our team as a Wealth Management Receptionist in our Oakland office. This role is crucial as you will be the first point of contact for our valued clients and visitors, setting the tone for their experience with Merrill Lynch. You will be responsible for managing front office operations, providing administrative support to our financial advisors and their teams, and ensuring the smooth flow of daily activities in a fast-paced, professional corporate environment. This position requires exceptional organizational skills, a proactive attitude, and a strong commitment to client service and confidentiality.

Key Responsibilities

  • Warmly greet and welcome clients and visitors upon arrival, directing them to the appropriate person or meeting room.
  • Answer and direct incoming phone calls with professionalism and efficiency, managing a multi-line phone system.
  • Manage client appointments, maintain calendars, and coordinate meeting logistics.
  • Oversee the reception area, ensuring it remains tidy, professional, and well-stocked with necessary materials.
  • Handle incoming and outgoing mail, packages, and deliveries.
  • Provide general administrative support, including data entry, filing, scanning, and preparing documents.
  • Assist with office supply inventory management and ordering.
  • Maintain strict confidentiality of client information and business operations.
  • Support financial advisors with various ad-hoc administrative tasks as needed.
