Job Description
We are seeking a highly motivated and detail-oriented individual to join our administrative team as an Entry Level Local Council Invoice Processor. This is an excellent opportunity for someone looking to start their career in public administration and gain valuable experience in financial operations. No prior experience is required, as comprehensive training will be provided to ensure your success. You will play a crucial role in ensuring the accurate and timely processing of invoices, supporting the financial health and operational efficiency of The City of Calgary.
Key Responsibilities
- Receive, sort, and verify invoices and supporting documentation for accuracy and completeness
- Input invoice data into the financial management system with precision and attention to detail
- Match purchase orders to invoices and resolve discrepancies by liaising with internal departments and vendors
- Prepare invoices for payment processing, adhering to established timelines and procedures
- Maintain accurate and organized records of all invoice transactions and communications
- Respond to internal and external inquiries regarding invoice status and payment details
- Assist with month-end closing activities related to accounts payable
- Perform general administrative tasks as required to support the finance department
Required Skills
- High school diploma or equivalent
- Strong attention to detail and accuracy
- Basic computer proficiency, including familiarity with Microsoft Office Suite (Word, Excel)
- Excellent organizational and time management skills
- Ability to learn new software and processes quickly
- Good communication skills, both written and verbal
- A strong work ethic and a proactive attitude
- Ability to work effectively in a team environment
Preferred Qualifications
- Post-secondary education in business administration, accounting, or a related field is an asset but not required
- Previous experience with data entry or administrative tasks (voluntary experience is welcome)
