Job Description
We are seeking a highly motivated and customer-focused Med-Spa Coordinator to join our team. In this pivotal role, you will be the first point of contact for our discerning clientele, ensuring a seamless and luxurious experience from initial inquiry through appointment completion. You will manage scheduling, provide administrative support, and maintain the aesthetic integrity of our front office. The ideal candidate will possess a professional demeanor, exceptional organizational skills, and a genuine passion for high-end client services in the medical aesthetics industry.
Key Responsibilities
- Warmly greet and welcome all clients, ensuring a superior first impression.
- Manage client appointments, including scheduling, rescheduling, and confirmations, utilizing our booking software efficiently.
- Answer phones, respond to emails, and handle all client inquiries with professionalism and discretion.
- Process client intake forms, maintain accurate client records, and ensure confidentiality.
- Educate clients on our services, products, and membership options.
- Handle payment processing, manage point-of-sale transactions, and reconcile daily sales.
- Maintain the cleanliness and organization of the reception area and common spaces.
- Assist with inventory management and ordering of office supplies and retail products.
- Support the clinical team with administrative tasks as needed.
- Proactively resolve client concerns and ensure satisfaction.
