Job Description

We are seeking a highly organized, professional, and client-focused Med-Spa Coordinator to join our esteemed team. This pivotal role is the first point of contact for our discerning clientele, requiring an individual who embodies warmth, efficiency, and a deep understanding of luxury service standards. You will manage daily operations of the front desk, ensure seamless client flow, handle scheduling, and provide administrative support, all while upholding the high-end reputation of Radiant Rejuvenation MedSpa. Key Responsibilities

  • Warmly greet and welcome all clients and visitors, ensuring an exceptional first impression.
  • Manage a multi-line phone system, handle inquiries, and direct calls appropriately.
  • Efficiently schedule and confirm appointments, manage cancellations, and maintain provider schedules.
  • Process client check-ins and check-outs, including handling payments and managing client accounts.
  • Educate clients on our services, products, and membership options with expertise and enthusiasm.
  • Maintain the cleanliness and presentation of the reception area and common spaces.
  • Assist with inventory management for retail products and office supplies.
  • Handle client concerns and feedback with professionalism, escalating when necessary.
  • Perform general administrative duties, including data entry, filing, and preparing reports.
  • Support marketing initiatives by distributing promotional materials and informing clients of specials.

Required Skills

  • Minimum of 2 years of experience in a client-facing role, preferably in a high-end service environment (e.g., hospitality, spa, medical office).
  • Exceptional interpersonal and communication skills, both verbal and written.
  • Proficiency in scheduling software and basic office applications (e.g., Microsoft Office Suite).
  • Strong organizational skills and meticulous attention to detail.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • A professional demeanor and appearance consistent with a luxury med-spa brand.
  • Proven ability to provide outstanding client service and build lasting relationships.

Preferred Qualifications

  • Prior experience in a medical spa, dermatology office, or plastic surgery practice.
  • Familiarity with med-spa treatments, products, and industry terminology.
  • Experience with electronic health record (EHR) systems or specific med-spa management software (e.g., Mindbody, Booker).
  • Associate's or Bachelor's degree in business, hospitality, or a related field.
