Job Description
We are seeking a dedicated and organized State/Provincial Foster Care Assistant to join our team in an office-based role. This position is crucial in providing administrative and programmatic support to our foster care specialists and ensuring the smooth operation of our services. The assistant will handle various tasks ranging from data entry and record keeping to coordinating appointments and assisting with family outreach efforts. Key Responsibilities
- Provide comprehensive administrative support to foster care specialists and program managers.
- Maintain accurate and confidential client records, both digital and physical.
- Assist with data entry, report generation, and document preparation.
- Coordinate and schedule appointments, meetings, and family visits.
- Prepare and distribute correspondence, memos, and forms.
- Serve as a primary point of contact for inquiries, directing calls and visitors appropriately.
- Assist in the preparation of training materials and workshop logistics for foster parents.
- Support outreach initiatives and community engagement events.
- Order and maintain office supplies and ensure a tidy and organized work environment.
- Collaborate effectively with team members to achieve program goals.
Required Skills
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strong organizational and time management skills.
- Excellent written and verbal communication abilities.
- Ability to handle sensitive information with discretion and maintain confidentiality.
- Detail-oriented with a high degree of accuracy.
- Ability to work effectively both independently and as part of a team.
- Demonstrated ability to multitask and prioritize effectively in a busy environment.
Preferred Qualifications
- Associate's degree in Social Work, Human Services, or a related field.
- Previous administrative or office support experience, preferably in a non-profit or social services setting.
- Familiarity with foster care systems or child welfare practices.
- Bilingual proficiency (English/Spanish) is a plus.
