Job Description

We are seeking a highly organized, compassionate, and energetic Veterinary Clinic Receptionist to join our thriving team. This is a fast-paced, client-facing role that requires exceptional interpersonal skills, the ability to multitask effectively, and a genuine love for animals. You will be the first point of contact for our valued clients, responsible for creating a welcoming environment, managing appointments, handling inquiries, and supporting our veterinary staff to ensure the smooth operation of our clinic.

Key Responsibilities

  • Warmly greet clients and their pets upon arrival and manage check-in/check-out procedures.
  • Efficiently answer multi-line phone systems, direct calls, and schedule appointments.
  • Process client payments, manage financial transactions, and maintain accurate records.
  • Maintain and update patient records, ensuring all client information is current and accurate.
  • Address client inquiries, provide basic information about services, and handle client concerns professionally.
  • Assist with general clinic upkeep, maintain a clean and organized reception area.
  • Support veterinary technicians and doctors with administrative tasks as needed.
  • Manage incoming and outgoing mail, email correspondence, and faxes.
  • Educate clients on preventative care, clinic policies, and products offered.

Required Skills

  • Excellent verbal and written communication skills.
  • Strong organizational abilities and proven capability to multitask in a busy environment.
  • Proficiency in basic computer skills, including Microsoft Office Suite.
  • Exceptional customer service and interpersonal skills with a compassionate demeanor.

Preferred Qualifications

  • Previous experience (1+ year) in a veterinary clinic, medical office, or similar client-facing role.
  • Knowledge of veterinary terminology and common animal health practices.
  • Experience with veterinary practice management software (e.g., Avimark, Cornerstone).
  • Post-secondary education in office administration, veterinary assisting, or a related field.
