Job Description

We are seeking a dedicated and detail-oriented Administrative Assistant to join our serene acupuncture clinic. This ‘Quiet Office Role’ requires an individual who thrives in a calm environment, is highly organized, and possesses excellent interpersonal skills to support our practitioners and patients. You will be the first point of contact, ensuring a smooth and peaceful experience for everyone entering our clinic. Full training will be provided for the right candidate who demonstrates a strong work ethic and a compassionate demeanor.

Key Responsibilities

  • Warmly and gently greet patients upon arrival, ensuring a comforting first impression.
  • Efficiently manage appointment scheduling, rescheduling, and confirmations using our clinic software.
  • Maintain accurate and confidential patient records, ensuring privacy and compliance.
  • Answer incoming phone calls and respond to emails in a quiet, professional, and timely manner.
  • Process patient payments, manage billing inquiries, and handle basic financial transactions.
  • Maintain the cleanliness and organization of the reception area and common spaces, contributing to a tranquil environment.
  • Assist practitioners with administrative tasks as needed, supporting the seamless flow of clinic operations.
  • Manage inventory of office supplies and place orders when necessary.
  • Educate patients on clinic policies and services with clarity and patience.
