Job Description
We are seeking a diligent and discreet Administrative Assistant to support the operations of an embassy or consulate in New Orleans. This pivotal role requires an individual with exceptional organizational skills, a keen eye for detail, and the ability to handle sensitive information with utmost confidentiality. Key Responsibilities
- Provide comprehensive administrative support to diplomatic staff, including scheduling appointments, managing calendars, and organizing meetings.
- Draft, edit, and proofread official correspondence, reports, and other documents, ensuring accuracy and adherence to protocol.
- Manage incoming and outgoing communications, including phone calls, emails, and postal mail, directing inquiries appropriately.
- Maintain organized physical and digital filing systems, ensuring efficient retrieval of information.
- Assist with logistical arrangements for events, visits, and delegations, including venue coordination, catering, and guest invitations.
- Process invoices, expense reports, and other financial documents in compliance with established procedures.
- Act as a liaison between diplomatic personnel and external contacts, including local government officials and community leaders.
- Handle confidential and sensitive information with professionalism and discretion at all times.
- Order and maintain office supplies and equipment, ensuring the office is well-stocked and functional.
- Perform other administrative duties as assigned to support the mission's objectives.
