Job Description

We are seeking a highly organized and proactive Executive Officer Assistant to provide comprehensive administrative and secretarial support to our senior management team. This critical role ensures the smooth operation of executive functions, enabling leaders to focus on strategic initiatives. The successful candidate will be an excellent communicator, discreet, and capable of managing multiple priorities in a fast-paced corporate environment.

Key Responsibilities

  • Manage complex calendars, including scheduling meetings, appointments, and travel arrangements for senior executives.
  • Prepare and edit correspondence, reports, presentations, and other documents with a high degree of accuracy and professionalism.
  • Organize and coordinate high-level meetings, including agenda preparation, minute-taking, and follow-up on action items.
  • Handle confidential information with discretion and maintain a high level of professionalism.
  • Act as a primary point of contact for internal and external stakeholders, screening calls and directing inquiries appropriately.
  • Process expense reports, invoices, and other financial documentation in compliance with company policies.
  • Assist with special projects and events as assigned by senior management.
  • Maintain an organized filing system for critical documents and communications.

Required Skills

  • Proven experience in an administrative or executive assistant role supporting senior management.
  • Exceptional organizational and time management skills with the ability to prioritize effectively.
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint).
  • Strong interpersonal skills and the ability to build professional relationships.
  • Discretion and experience handling confidential information.
  • Proactive and self-motivated with a strong attention to detail.

Preferred Qualifications

  • Relevant professional certification (e.g., CAP, PACE).
  • Experience working in a global or publicly traded company.
  • Familiarity with project management tools or enterprise resource planning (ERP) systems.
  • A degree or diploma in Business Administration or a related field.
