Job Description
We are seeking a friendly and organised Clinic Receptionist to join our massage therapy team in Basildon. This role is crucial to the smooth running of our clinic, ensuring our clients receive a warm welcome and efficient service from the moment they step through our doors. You will be the first point of contact, managing appointments, inquiries, and contributing to the overall relaxed and professional atmosphere we are known for. This is a Monday to Friday position, allowing for a great work-life balance.
Key Responsibilities
- Warmly greet clients and visitors upon arrival, creating a positive first impression.
- Manage appointment scheduling, rescheduling, and cancellations efficiently using our booking system.
- Answer incoming calls and emails, addressing client inquiries and providing information about our services.
- Process payments accurately and handle daily till reconciliation.
- Maintain a tidy and inviting reception area, ensuring all client areas are clean and well-stocked.
- Assist massage therapists with administrative tasks and client preparation as needed.
- Uphold client confidentiality and maintain a high standard of professional conduct.
- Manage client records and ensure data accuracy in compliance with GDPR.
- Handle general administrative duties to support clinic operations.
Required Skills
- Excellent verbal and written communication skills.
- Strong customer service orientation with a friendly and approachable demeanour.
- Proficiency in basic computer applications (e.g., Microsoft Office, email).
- Exceptional organisational skills and attention to detail.
- Ability to multitask and manage time effectively in a busy environment.
- Reliable and punctual with a professional attitude.
- Ability to work independently and as part of a team.
Preferred Qualifications
- Previous experience in a reception or administrative role, preferably within a healthcare, spa, or wellness setting.
- Familiarity with appointment booking software or CRM systems.
- Basic knowledge of massage therapy services or wellness industry terminology.
- GCSEs (or equivalent) including English and Maths.
