Job Description
We are seeking a highly organised and compassionate Ward Clerk to join our team at University Hospitals of Leicester NHS Trust. In this vital on-site role, you will be the administrative backbone of a busy hospital ward, ensuring smooth operations and providing essential support to patients, visitors, and clinical staff. You will manage patient records, coordinate appointments, handle communications, and maintain an organised ward environment, directly contributing to the delivery of excellent patient care. This is a full-time position requiring a proactive and detail-oriented individual.
Key Responsibilities
- Manage and maintain accurate patient records, both paper and electronic, in accordance with Trust policies and data protection regulations.
- Act as the primary point of contact for patients, visitors, and external callers, providing a welcoming and informative service.
- Coordinate patient admissions, discharges, and transfers efficiently.
- Schedule and confirm patient appointments, tests, and follow-up care.
- Handle ward correspondence, faxes, and emails, ensuring timely distribution and action.
- Order and maintain an adequate stock of ward stationery and supplies.
- Liaise with various hospital departments, including allied health professionals, porters, and administrative teams.
- Assist with basic data entry and reporting as required by the Ward Manager.
- Ensure the ward environment is tidy and organised, especially the reception and administrative areas.
Required Skills
- Minimum of 6 months administrative experience, preferably in a fast-paced environment.
- Excellent communication and interpersonal skills, with a compassionate approach.
- Proficiency in basic computer applications (e.g., Microsoft Office Suite).
- Strong organisational skills and attention to detail.
- Ability to work effectively under pressure and prioritise tasks.
- Discretion and respect for patient confidentiality.
Preferred Qualifications
- Previous experience working within an NHS or healthcare setting.
- Familiarity with medical terminology.
- Experience with patient administration systems (e.g., Lorenzo, EPR).
- NVQ Level 2 or equivalent in Business Administration.
