Job Description
We are seeking a highly organized and proactive Senior Associate Assistant – Professional to provide comprehensive administrative and operational support to our senior associates and management team. This role is pivotal in ensuring the smooth daily operations of our Blacktown office, requiring exceptional attention to detail, strong communication skills, and a professional demeanor. You will be responsible for managing complex schedules, coordinating meetings, preparing reports, and facilitating communication within the team and with clients. This is an on-site position based in our dynamic Blacktown branch, offering a stimulating environment for a dedicated professional looking to advance their career in financial services.
Key Responsibilities
- Manage complex calendars and schedule appointments, meetings, and travel arrangements for senior associates.
- Prepare and edit correspondence, communications, presentations, and other documents.
- Organize and coordinate internal and external meetings, including preparing agendas and taking minutes.
- Handle incoming and outgoing communications, including phone calls, emails, and mail, with discretion and professionalism.
- Assist in the preparation of financial reports, presentations, and other confidential materials.
- Maintain an organized filing system, both physical and electronic, ensuring easy retrieval of information.
- Coordinate office supplies and equipment, ensuring the office runs efficiently.
- Act as a liaison between senior associates and other departments, as well as external clients and stakeholders.
- Undertake special projects and research tasks as required.
- Ensure compliance with company policies and procedures, maintaining a high level of confidentiality.
Required Skills
- Proven experience in an administrative or executive assistant role, preferably in a corporate or financial services environment.
- Exceptional organizational and time management skills with the ability to prioritize effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Strong written and verbal communication skills.
- High level of discretion and ability to handle confidential information.
- Ability to work independently and as part of a team.
- Problem-solving aptitude and proactive approach.
Preferred Qualifications
- A diploma or degree in Business Administration, Finance, or a related field.
- Experience working within the banking or financial services industry.
- Familiarity with CRM systems and other office management software.
- Advanced Excel skills for data analysis and reporting.
