Job Description
We are seeking a highly motivated and detail-oriented individual to join our team as an Antarctic Division Support specialist in Warrnambool. This unique federal role provides essential administrative and logistical support to our operations, contributing directly to the success of Australia’s Antarctic program. You will be instrumental in ensuring the smooth functioning of various projects, coordinating resources, and assisting with the critical preparation required for expeditions to the Antarctic and Southern Ocean. This is an exciting opportunity to be part of a team dedicated to global scientific discovery and environmental stewardship.
Key Responsibilities
- Provide comprehensive administrative support to the Antarctic Division, including document management, correspondence, and record keeping.
- Assist with the coordination of logistics for personnel and cargo destined for Antarctic stations and research vessels.
- Manage and track inventory for various operational supplies and equipment.
- Liaise with internal departments and external stakeholders to ensure timely and efficient project delivery.
- Process invoices, expense reports, and other financial documentation in accordance with federal guidelines.
- Organize and schedule meetings, prepare agendas, and record minutes.
- Assist with data entry and maintenance of specialist databases.
- Support the preparation of reports and presentations as required by management.
- Contribute to a positive and collaborative team environment.
Required Skills
- Proven experience in an administrative or support role.
- Strong organizational skills with an excellent attention to detail.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Ability to manage multiple tasks and prioritize effectively.
- Demonstrated ability to work independently and as part of a team.
- Strong problem-solving capabilities.
- Australian citizenship is required due to the federal nature of the role.
Preferred Qualifications
- A diploma or degree in Business Administration, Logistics, or a related field.
- Experience working within a government agency or large organization.
- Familiarity with logistical coordination or supply chain processes.
- Knowledge of environmental science or polar regions is an advantage.
