Job Description
We are seeking a highly professional and empathetic Fertility Clinic Receptionist to join our high-end medical administration team in Val-d’Or. This pivotal role is the first point of contact for our patients, requiring exceptional interpersonal skills, discretion, and a compassionate approach. The successful candidate will manage a busy reception area, provide administrative support, and ensure a seamless and supportive experience for all visitors. Key Responsibilities
- Warmly greet and welcome patients and visitors to the clinic, ensuring a comforting first impression.
- Manage patient appointments, including scheduling, rescheduling, and confirmations, utilizing clinic management software.
- Maintain and update confidential patient records with meticulous attention to detail and privacy regulations (PIPEDA).
- Answer multi-line phone systems, direct calls appropriately, and respond to inquiries with professionalism and empathy.
- Process patient registrations, insurance verifications, and collect co-payments or fees accurately.
- Maintain the cleanliness and organization of the reception area, ensuring a calm and professional environment.
- Prepare patient charts, scan documents, and manage incoming and outgoing mail/faxes.
- Provide administrative support to physicians, nurses, and other clinic staff as needed, including managing supplies and preparing reports.
- Adhere strictly to all clinic policies and procedures, especially regarding patient confidentiality and data security.
Required Skills
- Proven experience in a customer service or administrative role, preferably within a professional office setting.
- Exceptional interpersonal and communication skills, with a strong ability to show empathy and discretion.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software.
- Excellent organizational and multitasking abilities, with a keen eye for detail.
- Ability to work independently and as part of a team in a fast-paced environment.
- Strong command of both French and English (written and spoken) is essential for serving our diverse patient base in Quebec.
Preferred Qualifications
- Previous experience in a medical office, clinic, or high-end service industry.
- Familiarity with medical terminology and healthcare administrative procedures.
- Experience with electronic medical records (EMR) or patient management systems.
- A diploma or certification in office administration, medical administration, or a related field.
