Job Description
We are seeking a highly organized and detail-oriented Escrow / Closing Assistant to join our busy San Jose team. This role is crucial in supporting our Escrow Officers through all phases of the closing process, ensuring transactions are handled accurately and efficiently. The ideal candidate thrives in a high-volume environment and possesses exceptional administrative and communication skills.
Key Responsibilities
- Assist Escrow Officers with managing a large caseload of real estate transactions from opening to closing.
- Prepare and process escrow documents, including opening orders, preparing settlement statements, and coordinating closing packages.
- Communicate effectively with clients, lenders, real estate agents, and other parties involved in the transaction to gather necessary information and provide updates.
- Order and review title commitments, property taxes, HOA documents, and other relevant closing documentation.
- Handle incoming calls and emails, addressing inquiries and resolving issues promptly and professionally.
- Maintain accurate and organized physical and electronic files for all transactions.
- Schedule closings and assist with pre- and post-closing tasks.
- Perform general administrative duties such as data entry, copying, scanning, and filing.
Required Skills
- Minimum of 1 year of administrative or office support experience, preferably in real estate, legal, or financial services.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Excellent written and verbal communication skills.
- Strong organizational skills and meticulous attention to detail.
- Ability to manage multiple priorities and meet tight deadlines in a fast-paced environment.
- High level of professionalism and client service orientation.
Preferred Qualifications
- Prior experience in an escrow, title, or real estate closing department.
- Familiarity with escrow software systems (e.g., SoftPro, RamQuest).
- Associate’s degree or higher in a related field.
