Job Description

We are seeking a dedicated and organized HOA (Homeowners Association) Administrator to join our property management team in LaSalle, Quebec. This full-time, on-site position operates during standard office hours, Monday through Friday. The HOA Administrator will play a crucial role in supporting the efficient operation of our managed Homeowners Associations, acting as a primary point of contact for residents, board members, and vendors. The ideal candidate will possess excellent administrative skills, a strong ability to multitask, and a commitment to providing exceptional service. You will be responsible for a variety of tasks aimed at ensuring the smooth and compliant functioning of our HOA clients.

Key Responsibilities

  • Serve as the first point of contact for HOA residents regarding inquiries, requests, and concerns, escalating issues as necessary.
  • Assist in the coordination and preparation of HOA board meetings, including drafting agendas, minutes, and distributing relevant materials.
  • Maintain accurate and up-to-date homeowner records, property files, and administrative databases.
  • Process architectural review applications, ensuring compliance with HOA governing documents.
  • Support financial administration tasks such as processing invoices, tracking payments, and assisting with budget preparation.
  • Coordinate with vendors and contractors for maintenance and repair services within HOA communities.
  • Prepare and distribute official HOA communications, notices, and newsletters.
  • Assist in the enforcement of HOA rules and regulations, issuing violation notices as directed.
  • Manage incoming and outgoing correspondence, emails, and phone calls for assigned HOAs.
  • Perform general administrative duties, including filing, data entry, and office organization.

Required Skills

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Excellent written and verbal communication skills in both English and French.
  • Strong organizational and time management abilities.
  • Ability to prioritize tasks and manage multiple deadlines.
  • High level of attention to detail and accuracy.
  • Customer service-oriented mindset.
  • Ability to work effectively both independently and as part of a team.

Preferred Qualifications

  • Previous administrative experience, preferably within property management or a similar field.
  • Familiarity with property management software (e.g., Yardi, AppFolio, BuildingLink).
  • Basic understanding of accounting principles.
  • Experience working with Homeowners Associations or condominium corporations.
